Terms of Service

1. Acceptance

By creating an account, starting a free trial, or otherwise using Hui Harmony (“the Service”), you agree to be bound by these Terms of Service (“Terms”) and our Privacy Policy. If you do not agree, you must not use the Service.

2. The service

Hui Harmony provides meeting management tools for committees, marae, iwi, charitable trusts and small organisations — including hui scheduling, attendance tracking, templated agendas, minute recording, action tracking, calendar/Drive integration and PDF export. Features available to you depend on your subscription tier.

3. Eligibility

You must be at least 18 years old, or have parent/guardian consent, and legally authorised to act on behalf of the organisation you create an account for.

4. Your account

  • You are responsible for keeping your password secure and for everything that happens under your account.
  • You agree to provide accurate information and to keep it up to date.
  • You must notify us at support@huiharmony.com immediately if you suspect unauthorised use of your account.
  • Account owners (admins) may invite additional users subject to the user-access limit of their tier.

5. Subscriptions, trial & billing

  • New accounts receive a 14-day free trial at the Regular tier. No card is required to start the trial.
  • Paid subscriptions are billed in advance, monthly or annually, in NZD via Stripe.
  • Subscriptions renew automatically until cancelled. You may cancel at any time from Settings → Subscription — your access continues until the end of the paid period.
  • Tier limits (committees, custom agendas, user access, huis per year) are listed on the Pricing page and enforced by the Service.
  • Fees are non-refundable except where required by law. For annual plans cancelled within 14 days of first purchase, we will refund pro-rata upon request.

6. Acceptable use

You agree NOT to:

  • Use the Service for unlawful, harmful, deceptive, or infringing activities.
  • Upload malware, illegal content, hate speech, or material that violates another person’s rights.
  • Attempt to gain unauthorised access to other users’ accounts, our systems, or any third-party service connected via your account.
  • Resell, sublicense, or white-label the Service without our written permission.
  • Scrape, copy, or replicate the Service’s features or content for a competing product.
  • Send unsolicited bulk email (spam) using Hui Harmony’s sending or reminder features.

We may suspend or terminate accounts that breach these rules.

7. Your content & data

You retain all rights to the content you upload to Hui Harmony (minutes, agendas, attachments, member lists). You grant us a limited licence to host, copy, transmit, and display that content solely for the purpose of providing the Service to you.

We do not claim ownership of, sell, or use your content for advertising or AI training.

8. Third-party integrations

Hui Harmony integrates with Google Workspace (Calendar, Drive, Contacts, Meet), Stripe, and Resend. When you connect a third-party account, your use of that service is also governed by that provider’s own terms. We are not responsible for downtime, errors, or policy changes by third-party providers.

9. Service availability

We aim for high availability but do not guarantee uninterrupted access. Maintenance, outages, or events beyond our reasonable control may cause downtime. We are not liable for any losses caused by Service interruption, except as required by law.

10. Intellectual property

The Hui Harmony name, logo, branding, and software are owned by us and protected by New Zealand and international intellectual-property laws. You may not use them without written permission, except as permitted by the Service itself (e.g. our branded PDF exports).

11. Disclaimer & liability

The Service is provided “as is” and “as available”. To the maximum extent permitted by law, Hui Harmony disclaims all warranties, express or implied. Our total liability for any claim arising out of or relating to the Service is capped at the amount you paid us in the 12 months preceding the claim.

Nothing in these Terms excludes liability that cannot be excluded under the New Zealand Consumer Guarantees Act 1993 where it applies.

12. Termination

  • By you: Cancel any time from Settings → Subscription, or email support@huiharmony.com.
  • By us: We may suspend or terminate your account on reasonable notice for breach of these Terms, non-payment, or required by law. We may also discontinue the Service with at least 30 days notice.
  • You may request full data export and deletion before account closure (see Privacy Policy section 6).

13. Changes to these terms

We may update these Terms from time to time. Material changes will be notified by email and by an in-app banner at least 14 days before they take effect. Continued use after that date constitutes acceptance.

14. Governing law

These Terms are governed by the laws of New Zealand. Any dispute will be resolved in the courts of New Zealand, unless required otherwise by your local consumer-protection law.
